Job Summary

The Administrator will be aligned to a specific end market providing full administration support.

Job Duties:

  • Making travel arrangements (train tickets, hotels, flights, car hire).

  • Meet/greet visitors and organising refreshments.

  • Organising internal and external meetings including meeting room bookings and required facilities.

  • Typing letters, minutes of meetings, formatting reports, booking conferences and training.

  • Assisting in preparation of bid documents.

  • Timesheet recording/chasing for team.

  • Ordering PPE and checking/maintaining stock.

  • Dealing with incoming and outgoing post, arranging couriers, archiving.

  • Ordering stationery, kitchen supplies, IT equipment.

  • Scanning, photocopying and binding, including photocopier maintenance.

  • Inducting new starters.

  • Updating company databases.

  • Maintaining CSCS card records and ensuring new staff undertake the relevant training.

  • Work experience/summer placement coordination.

  • Responsible for pool laptops, logging in/out.

  • Raising Purchase Orders and arranging payment of invoices.

  • Updating structure charts, CVs and project profiles.

  • Scheduling conference calls.

  • Recording disbursements/expenses for Directors.

  • Assisting with events.

Minimum Requirements

  • Minimum experience working as an administrator or secretary.

Preferred Qualifications

  • Degree preferable but not essential.

  • Excellent ICT skills - MS Office, Word, Excel, Outlook, PowerPoint and Adobe Professional.
