Job Summary

The successful candidate can be based from any of the following locations, Chesterfield, Birmingham, Leeds, Cardiff, St Albans or Croydon.

The Bid Coordinator will support our Bid Managers and Technical Directors in leading the bid, having read and understood the client requirements. He/she will devise draft bid programmes, coordinate inputs from Subject Matter Experts and track progress against tasks and individuals for reporting to the Bid Manager. The Bid Coordinator will work collaboratively with technical and operational colleagues, work winning staff, writers, and graphic designers. The role will cover the full procurement lifecycle including EOIs, PQQs and proposals. The Bid Coordinators will successfully lead tasks such as EOI and PQQ form completion.

Aside from supporting bids, the role requires proactive engagement in ad hoc tasks around general bidding best practice, including but not limited to: driving bid knowledge management through the breakdown of bids into a bid library; collaboration with the knowledge team to log model responses and useful information; collaboration with graphic designers to support on ad hoc, simple graphics requirements; and supporting the WPP work winning team to develop processes, tools and guides around bidding.

The Bid Coordinator will work effectively in a challenging and dynamic environment, working to tight timescales and completing tasks on time and to the expected high standard. Their approach and behaviors will reflect a professional, experienced team with calm authority – building credibility and long-term relationships through their day-to-day actions. A keen eye for detail and the ability to multi-task are key. The Bid Coordinator is expected to be a self-motivated, professional individual who is proactive, collaborative, and efficient.

Job Duties:

  • Review RFPs and other related documents and support in gathering proposal information to create winning responses.

  • Review existing content where relevant and provide the Bid Manager with relevant information.

  • Prepare templates, CVs, case studies and occasionally storyboards; chase content contributors as required.

  • Coordinate the preparation of identified expression of interests, prequalification questionnaires and proposals.

  • Ensure a winning, compliant, error free document arrives with the client in the correct format, meeting the deadline.

  • Break down submitted bids for a library of pre-written proposal content, where required.

  • Assist in the preparation of presentations for specific pursuits.

  • Identify and share lessons learned as inputs to the continuous improvement of the bidding process and tools.

  • Supports the team in ad hoc activities to develop our bidding excellence.

  • Proactively identify improvement areas in our activities and shares these with work winning leadership, working to resolve / improve issues as directed.

Minimum Requirements

Relevant years of experience in the coordination and development of winning bids, preferably in the engineering, architecture, consulting environment as well as the following;

  • Excellent verbal and written communication skills along with experience of coordinating multi-disciplinary proposals of a high strategic value.

  • An eye for detail, not accepting second best and taking personal pride and responsibility for all aspects within their control.

  • A sound working knowledge of Microsoft Excel, Word and PowerPoint.

  • A flexible approach to supporting bids and business development activities across the UK & Ireland.

  • The ability to work professionally and collaboratively and build credibility with senior colleagues.

  • The ability to work collaboratively with internal clients and to tactfully but effectively chase others for contributions as needed.

  • A methodical approach to assisting in the administration and production of bids.

  • The ability to work positively under pressure and deliver quality output to deadlines.

  • The drive to improve and adhere to processes / systems and the motivation to contribute to and support bid teams.

  • An experienced and efficient multi-tasker.

Preferred Qualifications

  • A working knowledge of Adobe InDesign (desired)

  • Foundation-level APMP certification (desired)
